Business Process Management for a Streamlined Approval Workflow

In many companies, purchasing a simple item - like a computer - was a frustrating, time-consuming process. Employees had to print a form, fill in details by hand, and physically visit multiple departments to get approvals. This outdated system led to lost paperwork, delays, and inefficiencies, wasting valuable time and resources.
Recognizing the need for improvement, the company set out to modernize its approval workflow by replacing manual processes with a digital solution. They needed a BPM (Business Process Management) platform that would streamline requests, automate approvals, and improve operational efficiency. I was brought in to design a system that would simplify these workflows, making the process faster, more transparent, and cost-effective.
To help employees efficiently handle their requests, I designed a task list-detail layout that allows users to view, organize, and manage their tasks in one place. This intuitive structure ensures that users can quickly see pending approvals, track request statuses, and take action without getting lost in paperwork or emails.
Understanding complex workflows can be challenging. By integrating BPMN.io, I enabled users to visualize the approval process in a clear, step-by-step manner. Employees can now track where their request stands, identify required approvals, and anticipate the next steps - eliminating confusion and reducing delays.
To ensure smooth request creation, I focused on user-friendly form design:
Organized information to prevent overwhelming users.
Pre-filled fields to minimize manual input and reduce errors.
Support for large data sets, such as tables for bulk requests.
Multi-step forms for complex requests, breaking them into digestible sections.
These optimizations make the request process faster, more intuitive, and less prone to mistakes.
